Your website chat receives price requests, customer questions, complaints. Your CRM holds the contacts, their emails, their deals. When the two do not talk:

  • The team answers without context. It does not see that the visitor has been a customer for three years, or received a quote yesterday.
  • Information is copied by hand. Name, email, need: copy-paste that gets forgotten as soon as the day gets busy.
  • Sales requests get lost. A question about your prices asked on the chat never shows up in the pipeline.

What to sync (checklist)

Whatever the method, check these points:

  • Identity: the conversation is linked to the contact with the same email.
  • The full history: visitor messages, team replies, AI replies, internal notes.
  • The category: sales, support, billing, spam, to sort and route.
  • The assignment: who follows the conversation, visible in the CRM.
  • The sales follow-up: a price request can create an opportunity or a task.
  • Automations: a received message can trigger an action (assign, reply, notify).

Pitfalls to avoid

  • The visitor without an email. Without an address, you cannot link them to a contact. Ask for it early in the conversation, politely, when the request justifies it.
  • The AI that makes things up. An agent answering without written instructions ends up promising a lead time or a price that does not exist. Require it to answer only from what you wrote, and to hand over otherwise.
  • Automating everything at once. Start by letting the AI draft replies, then trust it alone with simple questions once you have seen what it produces.
  • Forgetting privacy. Mention the chat in your privacy policy and only use chat data for what you announced.

Step by step in Arcane CRM

  1. Turn on the customer chat in Settings › Customer chat.
  2. Add your website: name, address, colour, welcome title and tagline. Copy the snippet and paste it just before </body> on your pages.

How do you link an anonymous visitor to a contact?

By their email address. Until the visitor has given it, the conversation stays anonymous; ask for it in the conversation, then link the conversation to the existing contact or create the contact.

Do you need a connector like Zapier or Make?

Only if your chat tool and your CRM are not natively integrated. A connector works, but it adds a subscription, rules to maintain and a delay between the message and the record.

Can the chat AI answer instead of the team?

What should visitors be told about their data?
